Strategic Planning 2023: Generate Update

HWDSB is pleased to share that 636 interested candidates applied to be on the Co-Design Workshop and the Youth Ambassador.

On May 3, information was provided to confirm applicants letting them know they were selected to participate.

On behalf of the coordinating team on the Multi-Year Strategic plan, we thank everyone who applied for their interest.

There are many ways to stay connected with the engagement efforts:

  • Survey: The survey is currently available and will be open until June 2. We encourage you to take this opportunity to share your valuable input and perspectives! The survey is available in the following languages: Arabic, Somali, Chinese Simplified, Urdu, Korean, Vietnamese, Spanish, Farsi, and French.
  • Pop-Up Events: Members of the engagement team will be temporarily set up in public spaces across the city such as a park, or community center, with the goal of engaging and interacting with members of the local community. Confirmed Pop-Up locations and dates will be shared once finalized.
  • Public Meeting: There will be two public meetings open to the communities during the validate stage to confirm initial drafts of the Multi-Year Strategic Plan. The meetings will provide an opportunity to learn more and ask questions in an open forum leveraging creative online tools to invite participation and input. The first public meeting will take place on June 17, 2023, and a second public meeting will take place in the fall of 2023.

What is an adapted Civic Lottery?

A Civic Lottery is a process for randomly choosing a group of individuals from within a specific population to discuss a given issue and come up with recommendations for what should be done. This process is adapted to ensure selected members represent the demographic makeup of the surrounding area as well as equity deserving populations.

The adapted Civic Lottery model used for the Multi-Year Strategic Plan involves representative selection from the HWDSB community, adjusted to prioritize equity-deserving communities and to ensure diverse relationships to the HWDSB are represented.

Note: Applications that were incomplete, duplicates, or not in the HWDSB catchment area were removed from the pool. 

How were the parameters & selection criteria developed?

Local community demographics, students and staff census were reviewed to determine the selection parameters of the Co-Design Workshop. The data sets include: the 2021 Canadian Census (Hamilton Census Division), the 2021-2022 HWDSB Student Census and 2019 HWDSB Staff Census.

Based on what we learned from the data, it showed us that the students in the HWDSB  are more diverse than the staff and the Hamilton Region population overall.

Knowing that students will grow up to be the next generation of Hamiltonians, the information collected from the student census was prioritized as the target to reach for the adapted Civic Lottery.

Each person in the group will come from different backgrounds to make sure that participants selected for the workshop are representative of the diverse communities that make up the school and the HWDSB catchment area overall. The youth members and adult members of the Co-Design Workshop will each have their own demographic targets, ensuring that the youth members are representative of the student population, and the adult members (staff, parents, community) are representative of the students served through HWDSB.

Parameters Overview

The Co-Design Charrette will include 35 participants. Selection was based on the following criteria:

  • Lives within HWDSB catchment (or part of an organization that provides programs or services to HWDSB)
  • Racial/Ethnic Identity: 39% POC, 4% Indigenous, 57% white
  • Disability: 17% Visible or Invisible Disability
  • Gender: 5% Trans, non-binary, gender fluid, questioning, etc., 47% Female, 48% Male
  • 20 School community members
    • 4 HWDSB staff
    • 8 students, ages 13-18
    • 5 parents
    • 3 community members (no affiliation with HWDSB)
  • 5 School Advisory Committee representative members
  • 10 Community Organizations

Then finally, the parameters were put into a civic lottery tool (Panelot) along with anonymized applicant data. Selected applicants were randomly selected in order to match set parameters and as a result, are as representative of community composition as possible.
